Hire a Pipedrive consultant

A Pipedrive consultant is a specialist you bring in for judgment and hands-on work on your account: process, pipelines, fields, data, automations and handover. You buy an outcome, not a seat. We scope each engagement as a fixed block, priced in US dollars, with a written result.

When hiring a Pipedrive consultant makes sense

Most teams do not need a consultant for a whole project. They need one at a specific moment, when a decision is expensive to get wrong and nobody inside the company has made it before. These are the moments we are hired for most often.

  • You are about to sign a CRM contract or a partner quote and want a second read.
  • Someone built the account two years ago and has since left the company.
  • The person who owns the CRM also carries a quota, and the quota wins every single week.
  • Reports disagree with each other, and the Monday forecast is rebuilt by hand in a sheet.
  • A migration, an integration or a reporting need is bigger than anyone here has done.

If two of those are true, a short consulting engagement will pay back faster than a long search for the perfect partner. If none are true and your process fits on one page, read DIY versus hiring a partner before spending anything.

What a consultant does, and what they should not do

The word covers a wide range, from a person who clicks through settings to a person who redesigns how a sales team works. Before you compare prices, compare the jobs.

A consultant doesA consultant should not
Turns how you sell into stages with exit criteria you can checkCopy your current fields across one to one and call it a design
Pushes back on a field, a stage or an automation that will not survive month threeAgree with everything and build your current problems faster
Cleans and maps data before it goes in, and reconciles it afterImport a file and hope the relations attach themselves
Documents every automation and trains your administratorLeave behind logic that only they understand
Names what is out of scope in writingPromise that they will handle everything so you do not have to do anything

That last row matters most. Nobody can write your sales process for you. A consultant can interview your reps, draw out the disagreements and force the decision, but the decision is yours. We say this on the first call, because a scope that assumes otherwise fails in week three.

Consultant, freelancer, in-house admin or partner firm

You have four ways to get Pipedrive expertise, and each one fits a different problem.

RouteBest forWatch for
FreelancerA defined technical task you can specify yourselfSkill in the tool without a view on your process
ConsultantA decision or a build that needs judgment, over weeks rather than monthsVague scope, and a result nobody can check
In-house adminDaily ownership, small changes, new hiresOne account in a career, and knowledge that leaves with the person
Partner firmMigration, integrations, training and aftercare under one accountable teamA team you never meet, and a price you cannot compare

Our engagements sit between the second and the fourth row. You work with a named consultant, and behind that person is Sales-Surge B.V., a Pipedrive Platinum Partner, with the capacity to take on a migration or an integration when the engagement grows. How the in-house role and the outside role split the work after go-live is covered in in-house admin versus partner.

Four ways to engage us as your consultant

You do not have to buy a project to get a consultant. Most engagements take one of four shapes.

A second opinion on a quote or a plan

You hold a proposal from another supplier and want to know what is missing from it. We read it against the scope items that decide cost: process work, migration, integrations, training and aftercare. The quote review tool does the first pass for free, and a consultant does the second.

A diagnosis of an account that already exists

Someone built it and it is not working. We review pipelines, fields, automations, data and reports, and hand you a ranked list of fixes. This is the shape described on the Pipedrive audit page, and it is the cheapest way to buy experience.

A scoped build

One defined piece of work with an end state: a pipeline redesign, a lead routing setup, a reporting layer, a migration from one source. If the piece is a whole account for a small team, the setup service is the packaged version.

Interim cover for an owner

Your administrator is on leave, has left, or has not been hired yet. We keep the account healthy for a defined period and document what we change. Longer arrangements belong in managed support, which is priced and reviewed as a monthly plan.

What you receive, phase by phase

Every consulting engagement follows the same five phases. The size changes with the shape you chose, and the order never does.

Phase 1. Brief and access

One working session on what you want to be true when we leave, who owns the outcome, and what is already decided. You give us read-only access to the account and the reports you rely on. You receive a one-page brief that restates the goal in your words, so we both agree on what the engagement is for before any work starts.

Phase 2. Diagnosis

We read the account, or the process if there is no account yet, and talk to two or three people who sell. You receive a short findings document: what is sound, what is broken, and what is merely untidy. It names decisions that are still open and who has to take them.

Phase 3. Written recommendation

You receive a ranked list of actions with the reasoning behind each, and a scope with a price for the ones you choose. Nothing is built before you have read this and said yes. It is also a document you can take to another supplier if you decide to.

Phase 4. Hands-on work

We build, repair or coach, depending on the shape. Changes are logged with a reason and a date. Anything that emails a customer or changes ownership silently waits until the team has worked in the account for a month, the same rule we apply on every project.

Phase 5. Handover

You receive written documentation of every automation we touched, an administrator session and a list of what we recommend doing next, in order. The engagement is judged on one question: can your own people change a field or a stage without calling us?

What we need from your team

A consultant is only as fast as the answers they get. For a typical engagement we need four things from you.

  1. One owner with the authority to decide, at about two hours a week while the work runs. A committee cannot settle stage names.
  2. Two or three people who sell, for a short interview each, including the one who complains most about admin.
  3. Read-only access to the account, and the five reports you actually use.
  4. An export of your data if it is moving, and an honest answer about who owns its quality.

What a Pipedrive consultant costs

The market band for a consultant's hour is $100 to $165. It tells you less than it seems to, because scope differs more than rates do. As an illustration only, ten hours at the bottom of the band is $1,000 and at the top it is $1,650, and what ten hours buys depends entirely on whether the decisions were made before the clock started.

For that reason we do not sell open hours for build work. We agree a fixed block, with a written result, in dollars, before the block starts, and the price moves only if the scope moves. When a consulting block turns out to be a project, these are the bands it falls into.

SituationOne-off costTypical duration
Team of 2 to 5, no migration, one pipeline$3,300 to $5,5002 to 3 weeks
Team of 5 to 20, migration from a sheet or a light CRM$6,600 to $13,2004 to 8 weeks
Team of 20 to 80, migration from HubSpot or Salesforce$13,200 to $27,5008 to 14 weeks
Above 80 users, which sits outside the bands we publishQuoted separatelySet per project

Licenses are separate: you pay Pipedrive per user, per month, directly. Sales tax depends on your state, and we show it as its own line when it applies. The reasoning behind each band is on the implementation cost page, and the cost calculator places your team in one.

How to vet any Pipedrive consultant, including us

You can test a consultant in one conversation. Ask these five questions and write down the answers.

  1. Which parts of my process would you push back on, and why?
  2. What will you not build for us?
  3. Who exactly does the work, and have I met them?
  4. What does the handover contain, and can my admin change a field alone afterwards?
  5. What is out of scope in this proposal?

The longer list, with how to verify a partner's claims on the Marketplace, is in how to choose an implementation partner, and what a Platinum badge does and does not prove is on the Platinum Partner badge page.

What clients say

PipeDriven is powered by Sales Surge. The company behind it, Sales-Surge B.V., is a Pipedrive Platinum Partner with more than 150 CRM implementations, and its Marketplace listing shows 5.0 from 11 reviews. Two of those come from teams that arrived with a specific problem to solve.

I spend my days fixing conversion leaks for ecommerce brands, so I'm picky about who touches my own systems. Sales Surge passed the test. Leads lived in my inbox and follow-ups depended on my memory. They built a clean setup with automated follow-ups and a dashboard I actually check. They understood the process before touching the tool, and explained every choice in plain language. Sander, Frederico and Riza from Sales surge are the real deal. Highly recommended.

Very happy with the support from Bart from Sales Surge. Bart really understood our needs and helped us improve our Pipedrive setup and automations in a practical and efficient way. Communication was always easy and quick, and he was very helpful throughout the process. Would definitely recommend them!

When hiring a consultant is the wrong choice

We would rather tell you now than in the second week.

  • Your process is not decided. If sales and marketing still disagree on what a qualified lead is, a consultant will surface it, and surfacing it is a workshop, not a build.
  • You need capacity, not judgment. A consultant is not a replacement for the person who updates deals every day.
  • You want custom software. A tool outside what Pipedrive does is a product project, with its own testing and maintenance.
  • You need someone in your office. We work remotely, in English, with sessions in the US morning.
  • Your setup is small and clean. Build it yourself, and book a review afterwards.

Where to go next

If you already know the shape of the work, read the full scope of implementation services, or the packaged setup for a small team. If you are still unsure whether you need outside help at all, the readiness assessment takes ten questions and scores what you have.

Otherwise, tell us what you want to be true in ninety days. We will say whether a consultant is the right shape for it, and what it would cost, in the same call.
