Pipedrive automation and integration services

We design, build and document Pipedrive automations and integrations for US sales teams: lead routing, follow-up, quote and renewal handoffs, and links to billing and reporting. Every automation gets an owner, a test record and a documented fallback. Prices follow the project bands below.

Who this is for, and who it is not for

This service fits a sales team of two to eighty users that already runs Pipedrive, or is about to, and has work that repeats. The signs are easy to spot. Reps retype the same email after every proposal. Won deals reach delivery or billing by chat message. Somebody keeps a spreadsheet of deals to chase because the account does not remind them. Or the account already holds automations and nobody can say what half of them do.

Good reasons to hire us for this work:

  • You lose leads between the form, the inbox and the first call.
  • Handoffs from sales to delivery, finance or customer success leak information.
  • You want Pipedrive to talk to the accounting, billing or support system you already own.
  • You inherited workflows from a former admin and need them documented or retired.

It is not for you if any of these is true:

  • The pipeline itself is still being argued about. Automating a pipeline nobody agrees on pours concrete over the cracks. Start with pipeline design instead.
  • You want a system that emails prospects on its own at every stage. We build owner-signed, low-volume messages, and we will say so in the first call.
  • You need one broken workflow fixed. A few hours of consultant time at the market rate of $100 to $165 per hour does that without a project.

What you get, in order

An automation project produces seven things. Each one is something you can open, read and check, which is the standard we hold every phase to in how we work.

  1. An inventory of what runs today. Every native workflow, webhook, connected scenario and email rule, with its last run, its failure count and the person who last touched it.
  2. An automation map on one page. Trigger, condition, action, owner and review date for each automation, named in the form trigger then effect so the name is the documentation six months later.
  3. The workflows themselves, built and tested. Follow-up activities on stage change, idle deal reminders, defaults on creation, a won-deal handoff and a lost-reason revival task are the usual core. Each one is tested on a dummy deal before it sees real data.
  4. Routing and service levels. Rules that decide who owns a new lead and how fast somebody must respond, designed with the principles on lead routing and SLA design.
  5. Integrations, each scoped separately. A webhook on won deals to your billing system, a Slack or Teams notification, a reporting feed. The scope states the trigger, the fields that cross and the failure behavior. Read API tokens and webhooks for the mechanics.
  6. Failure handling. For every automation: who is told, what the manual fallback is, and which count on which dashboard proves it still runs.
  7. Handover. A session with your admin, the automation map, and a review date three months out. The handover is judged on whether you can switch one off without calling us.

What we need from your team

Automation work is fast when decisions are made and slow when they are not. The configuration is rarely the slow part. We need four things from you.

  • One named owner for the automation list, with authority to say yes or no to a request.
  • Admin access to Pipedrive and to the systems on the other end of any integration, or an introduction to whoever holds that access.
  • Two or three reps who do the manual task today, for an hour each. We watch the real routine, because a described routine is usually tidier than a real one.
  • Answers to the ownership questions: who gets the lead, who gets the won deal, who is told when something fails.

How an automation project runs

We follow the same short path on every account, because the order prevents rework. First the admission test: an automation earns its place when it removes a task somebody demonstrably does by hand at least weekly. Second, the stage change as the spine. Almost everything useful hangs on a deal updated with the condition that the stage has changed, so the stages and exit criteria must be right before we build.

Third, tasks before emails. A workflow that creates a call task keeps the human in the loop. A workflow that emails the customer removes them. Fourth, launch narrow. We match one dummy deal, widen to the real pipeline and watch the first ten runs the same day. The same method is written out step by step on the automations guide.

Time zones deserve a line of their own for a US team. A due time of 9 a.m. Eastern is 6 a.m. in Los Angeles, so we test which time zone a due time follows before anyone promises a same-day call task to a rep on the West Coast.

What an automation project costs

Automation work usually sits inside a larger project, and the published bands below apply to the whole project. They are one-off prices in US dollars. Licenses are separate and are paid to Pipedrive per user per month.

Team and starting pointOne-off projectTypical duration
Team of 2 to 5, no migration, one pipeline$3,300 to $5,5002 to 3 weeks
Team of 5 to 20, migration from a sheet or a light CRM$6,600 to $13,2004 to 8 weeks
Team of 20 to 80, migration from HubSpot or Salesforce$13,200 to $27,5008 to 14 weeks
Above 80 users, which sits outside the bands we publishQuoted separatelySet per project

Three things move a quote inside a band: the number of automations that survive the admission test, the number of integrations (each one is scoped and tested on its own), and the state of the data the automations will read. An account with half-empty fields needs hygiene work before it needs workflows. Hourly consultants in the market charge $100 to $165. We quote a fixed scope instead, and the quote lists what each deliverable contains, so you can compare it against that yardstick. The cost calculator gives you a range before you talk to anyone.

When this is not the right choice

Do not buy automation services to compensate for a missing process. If the team does not agree on what a qualified deal is, a workflow will enforce the disagreement faster. Do not buy them either when your own admin has the skill and the time, because the native builder is approachable and the discipline matters more than the tooling. The in-house admin versus partner comparison is honest about where the line sits.

And do not buy them in a hurry before a go-live. Customer-facing automations in particular should wait until the team has worked in the account for a month, because that is when you learn which messages are really standard. If you are still choosing between providers, use the quote review on any proposal you hold, ours included.

Amazing implementation work. The expertise on Revops and complex workflows has been outstanding. Because of this the handovers between the teams are spectacular. More to come!

Where to read next

If you want to understand the work before you hire for it, start with the playbooks, which hold the step by step procedures we run, and the setup guides, which cover pipelines, fields and permissions. Two pages go deeper on the most common automations: quote follow-up and renewal pipelines. For intake, see forms and chat that feed Pipedrive. Thinking about AI in the loop? Next step

Bring your list of repeated manual tasks, and the automations you already have if there are any. In the call we sort them into build, fix and skip, and you leave with a scope that names the deliverables above.
