Who this is for, and who it is not for
Managed support is for teams whose Pipedrive account is live and carries revenue. The work after go-live changes character. Users have questions. A stage needs renaming. A report is wanted for Monday's meeting. A new hire needs the same walkthrough the last one got. Each item is small, none has an end state, and bought as forty separate quotes they are miserable for everyone.
This plan suits you when:
- You have no in-house admin, or the admin is a salesperson with a second job.
- The account has integrations or automations whose failure would cost revenue.
- You want a single person who already knows your setup, so answers are quick.
- You want improvement to continue, not only repairs when something breaks.
It is not for you when:
- The implementation is not finished. That is a project with an end, and an open-ended monthly bill transfers the partner's risk to you. Read project versus retainer.
- You need fewer than about four hours of help a month. Pay as you go usually beats a plan at that volume, at the market rate of $100 to $165 per hour.
- You have a capable internal owner and a stable setup. Then a light arrangement or incident billing is enough, as the in-house comparison lays out.
What you get each month
- A request queue with agreed response times. One for normal requests, a shorter one for incidents, written down before you sign.
- An hours band and a rollover rule. How many hours are in the plan, and what happens to the ones you do not use.
- Small changes to the account. Fields, stages, user setup, filters and email templates, each kept inside the design rules the account was built on.
- Automation upkeep. A monthly look at the execution history for failures and surprises, and a quarterly walk of the whole list against the current process.
- A hygiene pass. The monthly hour from the data hygiene routine: duplicates, dead deals, past-due close dates, field gaps and orphans, with the counts logged and compared with last month.
- Reporting changes. New and adjusted reports and dashboards, with the definition written down so two reports never answer the same question differently.
- New hire sessions. The role walkthrough for every person who joins, using the guides left at handover.
- A monthly note. One sentence per delivered item, against the hours used.
The quarterly review
A plan earns its keep in a short, regular meeting. Thirty to forty-five minutes per quarter is enough if the agenda stays fixed, and the fourth question is the one that keeps it honest.
- What was delivered, against the hours used, in one sentence per item.
- What the team asked for that was refused, and why.
- What changed in the business that the setup does not reflect yet.
- What the next quarter's hours should be, up or down.
If the answer to the fourth question is down, we say so first. A plan that cannot be scaled back is a standby fee with a nicer name.
What we need from your team
- One named owner who prioritizes the queue and can say yes or no. Without one, requests arrive from five people and contradict each other.
- Admin access to Pipedrive and to the systems that connect to it.
- A rule about who may ask for what. A change to stages or ownership is a decision, not a favor.
- Attendance at the quarterly review, from the owner and one sales leader.
- The documentation from the implementation, or an audit if you have none. We support what we have read.
What the price depends on
We do not print a monthly figure here, and we do not quote one that you cannot check against something. What we can tell you is what moves the price, in order of effect.
| Factor | Why it moves the price |
|---|---|
| Hours band | The main driver. More hours in the plan means a higher monthly line and a lower rate per hour. |
| Response time | A short incident commitment needs reserved capacity, which costs more than best effort. |
| Integrations | Each connected system adds testing, monitoring and a place where failure costs revenue. |
| Users | More users mean more questions, more onboarding and more permission changes. |
| State of the account | A documented, clean account is cheaper to run. An unknown one needs an audit first. |
For the market picture, project versus retainer shows that partners price retainers from a few hundred dollars to around $2,200 per month, backed by hourly rates of $100 to $165. The one-off work that comes before a plan, the implementation, is priced in the open on the cost guide, and the quote review compares a retainer proposal against what a good scope contains. You get our number, scope and response times in writing before you commit.
When this is not the right choice
Do not buy a plan to feel safe. A plan with no delivered items for three months is a standby fee, and the right move is to cut back to incident billing. Do not buy one to avoid hiring or training an owner either, because a partner who answers every question keeps your team from learning the account, and the dependence compounds. And do not buy one from any provider that will not let you scale it down. For the wider decision, including how to pick a provider, see how to choose an implementation partner and what a Pipedrive consultant does.
If your team skips fields and drifts, the cause may not be support at all. Read CRM adoption that sticks and consider training and adoption first.
What clients say
5.0 from 11 reviews on the Pipedrive Marketplace, for Sales Surge, which powers PipeDriven. Top 8 Pipedrive partner worldwide, July 2026. Word for word from the listing:
I believe most small businesses and some large ones get stuck at a level, and you do not know how to get to the next. We were there. When we first met with Sander and Sales Surge, we had hope! When he gave us the proposal, we were not just sold, but now we KNEW how to get to the next level! But the measure of a company and a man does not come when all is well, so when the S hit the fan, we were in complete awe of how well Sander performed! You can not go wrong with Sales Surge and with Sander!
Great guys, great work!
