Why teams outgrow Monday.com for sales

Monday.com starts as the tool for everything, and for a while it works. Deals live on a board, projects on another, and everyone sees everything. The trouble starts with growth. Each rep adds columns. Groups multiply. Two boards track the same deals differently, and nobody can answer what the pipeline is worth.

The deeper issue is structural. A board has no opinion. A CRM does. Pipedrive enforces that a deal belongs to a person and an organization, sits in one stage, and carries a value and a close date. That structure is exactly what a growing sales team is missing, and it cannot be bolted onto a board with more columns.

What carries over and what does not

Items move. Any board exports to Excel, and rows become deals, contacts or organizations once the columns are reshaped. Files attached to items can be downloaded and re-uploaded. People columns translate to owners as long as the same humans get Pipedrive seats.

The board mechanics do not move. Groups, subitems, automation recipes, connected board relations, dashboards and the item update threads all stay behind. Monday's CRM product adds proper contact and account boards, which export the same way, but its activity timeline stays too.

Pitfalls specific to Monday.com

The first pitfall is stage ambiguity. Many boards track progress twice, once as groups and once as a status column, and they disagree. Pick one as the truth per board and record the choice, because the import file can only carry one stage.

The second is connected boards. Relations between a deal board and an accounts board export as display text, not as IDs. Two accounts with the same name merge silently on import. Deduplicate names in the files before loading anything.

The third is scope creep in reverse. Because everything lives in Monday, people try to move everything. Resist. Delivery checklists, content calendars and HR boards are not CRM data. A migration that moves only the sales objects finishes in weeks. One that tries to move the company never finishes.

The step plan

1. Inventory the boards

List every board that holds sales data. Per board, note the stage source, the value column and the owner column. This inventory is half the project.

2. Design the pipeline fresh

Do not copy the board columns. Design stages around how customers buy. Our six step method covers this in detail.

3. Export and reshape

Export each board to Excel. Split rows into organizations, people and deals. Normalise stage names across boards to the new pipeline.

4. Test import, then run in order

Fifty records first, checked by hand. Then organizations, people, deals, and open follow-ups as activities.

5. Wire the handoff and cut over

Connect won deals to the delivery boards, set one cutover date, and lock the old deal boards to read-only so nobody keeps working there.

Timeline and cost band

Two to five weeks, €3,000 to €9,000 with a partner. Board count and column consistency set the price. A team coming from one tidy CRM template sits at the bottom of the band.
